Step-by-Step Owner Guide
YOUR COMPLETE OPERATIONS MANUAL.
Follow the steps in order your first week, then use this as a reference. Tap ? in the top bar to reopen anytime. This guide covers every feature — from first login to running a fully automated booking operation.
Part 1 — Getting Started
1Create Account & Start Your Free Trial
First Login
You get a full 14-day trial the moment you sign up — no credit card required. Here's what happens on Day 1.
1
Open the sign-up screen
You just did this — you're in! Your 14-day trial started automatically when you signed up.
2
Trial countdown
The trial timer is visible in the top bar. You'll get a nudge at 3 days left. No credit card is ever required to start.
3
The onboarding wizard
After signing up, a quick 2-minute setup wizard walks you through naming your venue and adding your first court. You can change everything later in Settings.
💡 TipUse the email you actually check — your customers' booking confirmations are sent from this same account.
2Set Up Your Venue
Venue Configuration
Tell Courtside who you are. Everything from your venue name to operating hours goes here.
1
Open Settings (⚙ gear icon, top right)
All venue config lives here. Tap the gear icon at any time.
2
Venue Name
Set your official venue name — this is what customers see on the public booking page and in confirmation emails.
3
Sport(s) & Operating Hours
Choose your sport(s) — Badminton, Basketball, Pickleball, etc. Set your Timeline Start and End hours (e.g., 6:00 AM–10:00 PM). The schedule view only shows this window.
4
Theme (optional)
Settings → Appearance lets you switch color themes. The default dark/ember theme is optimized for bright outdoor use on phones.
3Add Your Courts
Court Setup
Each physical playing area is a "court." Set them up once — they drive pricing, availability, and the public booking page.
1
Settings → Courts → + Add Court
Give each court a name your staff already uses: "Court 1", "Badminton 3", etc.
2
Set the hourly rate
Enter the rate in pesos (e.g., 350 for ₱350/hr). Revenue is calculated automatically from this rate.
3
Set the sport type
Helps group courts on the schedule and public booking page.
💡 TipIf courts have different prices (e.g., ₱300 regular, ₱400 airconditioned), set each court's rate individually — Revenue reports break down by court automatically.
Part 2 — Daily Operations
4Overview Dashboard
Your Home Screen
The Overview gives you the full picture of today's operation in 3 seconds — check it at the start of every shift.
1
Today's Stats strip
Total bookings, courts in use right now, revenue today, and pending requests waiting for approval.
2
Weekly Schedule strip
7-day bar showing how full each day is. Tap any day to jump to that day's schedule.
3
Pending alert
If unreviewed customer booking requests exist, a red badge appears. Tap it to go straight to Pending.
5Schedule / Timeline View
The Full Day View
The Schedule is the most powerful view — all courts side-by-side as a timeline, like a hotel front-desk board. This is your command center.
1
Click "Schedule" in the top nav
Rows = Courts. Columns = Hours. Each colored block is a booking.
2
Tap a booking block
See full details: who booked, court, time range, payment status. Tap again to edit or delete.
3
Navigate days
Use the ← → arrows. Or tap any day in the weekly strip to jump directly to it.
4
Tap an empty slot
Pre-fills that court and time in the booking form — fastest way to add an admin booking.
📌 Color keyOrange = confirmed. Gray striped = blocked/maintenance. Green border = paid.
6Calendar View
Monthly Overview
Monthly bird's-eye view. Great for spotting your busiest days, planning maintenance, and seeing weekly patterns.
1
Click "Calendar" in the top nav
Full month with booking counts per day shown as fill bars.
2
Tap any day
Opens a day panel listing all bookings for that day with times and court names.
💡 Best use caseAt the end of each week, check next week's calendar. If any day is still empty by Wednesday, post a promo in your group chats before the weekend.
7Adding a Booking
Admin Booking Form
Use this when taking a booking over the phone, in person, or from Messenger — customer pays you directly.
1
Click "+ New Booking"
The orange button at the top of any view. Or tap an empty slot in the Schedule timeline to pre-fill time and court.
2
Fill in the details
Court, date, start/end time, customer name, phone, payment status (Paid / Pending / Cash). Always enter the phone number — it builds the customer CRM automatically.
3
Conflict check runs automatically
If another booking overlaps that court and time, you get a red warning and the save is blocked. You will never accidentally double-book.
4
Recurring bookings (for regular teams)
Toggle "Recurring" in the form. Set how many weeks (2–52). The system expands the full series, skipping conflicts automatically.
⚠️ Editing / DeletingTap any booking to edit it. For recurring series, delete a single occurrence or the entire series. A 5-second undo appears for accidental deletions.
8Walk-In Booking
The Fastest Way to Book
Someone walks in and wants Court 2, 6–8PM. Book them in under 10 seconds with the Walk-In shortcut.
1
Tap the orange ⚡ floating button
Bottom-right of the screen in any admin view. Or press W on your keyboard.
2
Pick court and time
The walk-in form is shorter — just court, start time, end time. Court defaults to today, right now.
3
Tap Book
Saved instantly. Conflict check still runs — if that slot is taken, you're warned before it saves.
Part 3 — Customer Self-Booking
9Public Booking Page
Let Customers Book Themselves
This eliminates Messenger chaos. Share one link — customers pick a court, pick slots, send payment — without you lifting a finger at 11PM.
1
Your customer booking URL
Share this link everywhere: Facebook bio, Messenger, pinned post, QR code on your counter:
courtside-ph.vercel.app/book
2
What customers see
A clean 3-step flow: Select court & slots → Enter details → See your GCash/BPI QR + upload payment proof. They never see your admin dashboard.
3
Live availability
Slots shown to customers are always up-to-date. If you just added an admin booking for Court 3 at 4–6PM, that slot disappears from the public page immediately. No manual sync needed.
4
After they submit
The request lands in your Pending tab with a notification badge. You review, verify payment, and approve — slot is then locked in the schedule.
🔗 Share this nowPost the /book link in your Facebook bio, pinned post, group chats, and print it as a QR on your counter. Every customer who books through it frees up your time.
10GCash / BPI / GoTyme QR Setup
Accept Payments via Your Own QR
Your payment QR codes appear on the public booking page. Money goes straight to your account — Courtside takes zero cut and never processes payments.
1
Save your QR code images
Open GCash / BPI / GoTyme, go to your QR code screen, and save the image to your phone or computer.
2
Settings → Payment → Upload QR
Tap "Upload QR" next to GCash, BPI, or GoTyme. Select the image you saved.
3
Add account name and number
Customers see this alongside the QR so they can double-check they're sending to the right account.
⚠️ Always verify in your bank appScreenshot proofs can be faked. Always check your actual GCash/BPI transaction history before approving a booking.
11Pending Requests
Review, Verify & Approve
Every customer-submitted booking request goes to Pending first. Review the payment proof, verify in your bank app, then approve — all in one screen.
1
Click "Pending" in the top nav
Red badge shows how many are waiting. Each card shows: customer name, phone, court, date, time, amount, and the payment screenshot.
2
Tap the screenshot to view full size
Check the transfer amount, reference number, and sender name against your actual bank app.
3
Mark Verified → Approve
Once payment is confirmed, tap Mark Verified then Approve. The booking moves to the confirmed schedule instantly. A confirmation email is sent to the customer automatically if they provided an email.
4
Reject if needed
If payment doesn't match or the slot is no longer available, tap Reject. The slot opens back up for other customers.
Part 4 — Business Intelligence
12Customer CRM
Know Your Regulars
Courtside automatically builds a customer list from your bookings. No manual data entry — it tracks visits, hours, and spend per customer.
1
Click "Customers" in the top nav
Every customer who ever booked at your venue, ranked by total spend. Built automatically from your bookings.
2
Each record shows
Total visits, total hours, total spend, first seen, last seen. Tap any customer for their full booking history.
3
Find inactive customers
Sort by Last Seen to find customers who haven't booked in a while — these are prime targets for a promo or reminder.
💡 CRM built automaticallyPhone number is the unique key. Multiple bookings with the same phone number are grouped under one customer profile automatically. Always ask for the phone number.
13Revenue Reports
Know What You're Earning
Real-time income picture — by day, by week, by court, and by time of day. Visible to admin only, never shown to customers.
1
Click "Revenue" in the top nav
Filter by Today, This Week, This Month, or a custom range.
2
Key numbers
Total revenue · By Court (which court earns most) · Peak Hours · Court utilization %
3
Use it to make decisions
If Court 3 is empty every Monday morning, add a promo. If Friday 7–9PM is always full, consider raising the rate.
📌 How revenue is calculatedRevenue = Hours booked × Court rate. Make sure your court rates in Settings match what you actually charge.
14Booking History
Full Audit Trail
Every booking ever made — including deleted ones — is tracked here. Your paper trail for disputes and accounting.
1
Click "History" in the top nav
All past bookings in reverse chronological order. Search by customer name/phone. Filter by court, date range, or payment status.
2
Export to CSV
Click Export to download all bookings as a spreadsheet. Open in Excel or Google Sheets for accounting or BIR records.
Part 5 — Security & Sync
15PIN Lock
Protect Your Dashboard
Set a PIN so staff or customers on the same device can't open your admin dashboard without it. The public /book page is never affected.
1
Settings → Security → Set PIN
Choose a 4–8 digit PIN. The PIN is encrypted — Courtside cannot retrieve it if you forget it.
2
How it works
After 5 minutes of inactivity on the same device, the app locks. Enter the PIN to unlock. Quick-lock anytime with the 🔒 button in the top bar.
16Cloud Sync
Access from Any Device
Cloud sync lets you use Courtside on your phone AND laptop simultaneously. Bookings added on one device appear on the other within seconds — even after going offline.
1
Settings → Sync → Sign In
Enter your Courtside email and password. Your data syncs automatically on every save (2–3 second push delay).
2
Works offline too
If your internet goes out (brownout), Courtside continues working locally. When connection restores, all offline changes sync automatically. Your data is never hostage to the internet.
3
Manual sync
Settings → Sync → Sync Now ↑ to push, Pull ↓ to pull latest from cloud.
17Block-Out Times
Maintenance & Closures
Close a court for maintenance, cleaning, or a private event so customers can't book those slots and your staff knows it's unavailable.
1
Settings → Courts → [Select court] → Block-Out Times
Or tap the ⊘ icon on a court row in the Schedule timeline.
2
Set the block-out
Pick date, start time, end time, and reason (e.g., "Resurfacing", "Private event"). The slot appears as a gray striped bar in the schedule and disappears from the public booking page.
💡 Recurring maintenanceNeed to block every Sunday 7–8AM for cleaning? Set it as a recurring block-out and the system creates it for the next several weeks.
18Export & Backup
Keep a Copy of Your Data
Courtside stores your data locally AND in the cloud (if signed in). Export a backup regularly as an extra safety net.
1
Export bookings CSV
History → Export. Downloads every booking as a spreadsheet for accounting or BIR records.
2
Export full data backup
Settings → Data → Export Backup. Downloads a JSON file with ALL data: bookings, courts, settings, customers. Save to Google Drive or your phone gallery.
3
Restore from backup
Settings → Data → Import Backup. Select your JSON file — all bookings, courts, and settings are fully restored.
